POSITION: Director of Finance and Administration

This is an exempt office position that reports directly to the President and supervises one full-time Finance Assistant. Additionally, the Director of Finance and Administration is responsible for operations in the absence of the President. This position manages all financial activities as well as Human Resources and other operations functions. This position is budgeted for 37 hours per week.

KEY DUTIES and RESPONSIBILITIES

A. Finance
a. Daily bank deposit postings or transfers.
b. Generate bi-monthly checks and secure a second check signer for accounts payable.
c. Balance all bank accounts monthly.
d. Maintain credit cards, checks, and petty cash.
e. Maintains monthly ACH payments.
f. Transmit data for bi-weekly payroll. Generate, distribute and maintain timesheets.
g. Prepare Balance Sheet and Profit and Loss statements using QuickBooks software.
h. Manage all financial aspects for the Campaign and all special events including posting journal entries, auditing and logging campaign envelopes, setup of annual funding spreadsheets for allocations, donors’ choice designations, donation tracker data entry, reconciliations, payouts, credit cards bills, and sponsorships.
i. Generate reports as needed.
j. Finance committee and Board meeting financial report preparation.
k. Submit sales tax filing at least twice a year.
l. Manage annual budget.
m. Annual audit assistance.
n. Send tax letters and thank you letters for Community Foundation donors and in-kind gifts.

B. Human Resources
a. Benefit management – Health, Vision, Dental, Life, LTD, 401 Match
b. New employees – distribute employee packets, set up passwords and issue equipment.
c. Departing employees – collect paperwork, passwords and equipment.

C. Property Management
a. Manage property tenants – rent reconciliations, lease renewals and repair requests.
b. Manage property vendors for custodial services, garbage disposal, elevator service, property insurance, and property repairs (roof, HVAC, plumbing, electrical, etc.).

D. Office Management
c. General office management – ordering office supplies, manage office equipment, and daily post office box run for mail collection.

E. Other duties as assigned by the President.

EDUCATION REQUIREMENTS
Associates degree in accounting, Business, Finance or closely related field plus five to seven years of financial experience. Four-year degree in Accounting, Business or Finance preferred. An equivalent combination of education and experience may be considered.

SKILLS
A. Proficient in Microsoft: Word, Excel, PowerPoint, and QuickBooks
B. Detail oriented
C. High customer service orientation
D. Experience using a data management system is preferred.
E. Ability to work independently.
F. Strong relationship-building and organizational skills
G. Excellent verbal and written communication skills
